Tips for Effective Workplace Communication ? The 3-3-3 Sounding Tool

One of my most helpful tools I work with that I?ve called The 3-3-3 Sounding Tool is something I developed over the years when I?ve been faced with a large task or problem. I illustrate the task or problem on paper by reducing the big picture into 3 categories that I can break down and analyze simply.

Once I have the task or problem broken down into the three categories, I then describe each of these three categories in summary form, giving it a brief heading and description. Then, under each of these headings, I again break each down into three sub-headings and summarize them in the same way. Finally I break down these 3 sub-headings into a further 3 sub-headings.

For example, let?s say that you need to prepare a presentation (or a report):-

1) Break down the presentation into 3 main categories and give each category an appropriate heading.

2) Break down each of these 3 headings into 3 sub-headings.

3) Then break down these sub-headings into 3 further sub-headings.

This is the 3-3-3 sounding. Three levels of organized analysis.

For instance, the presentation may be about selling. So you break down the presentation into 3 categories of 1)Introduction, 2) Body, 3) Closing.

Then you break down each of these into 3 sub-headings of what you?ll present to your audience. Let?s say:

1) Introduction = 1-1) Who am I? 1-2) Why am I qualified to give you this presentation 1-3) What I?m going to talk about

2) Body = 2-1) The selling game 2-2) The selling tools 2-3) Measuring the results

3) Closing = 3-1) Why this works 3-2) What happens if you don?t do this 3-3) The exciting results you?ll get for doing this

Then you repeat this 3 sub-headings for each of the above sub-headings:

1-1)Who am I? = Hi, my name is John Doe

2-2) Why am I qualified to give you this presentation = I?ve been in the selling business for 30 years

3-3) What I?m going to talk about = I?m going to show you how to increase your sales by 50-100%

Then:

2-1) The selling game =Selling is a game of numbers. If you need 100 cold calls to get 10 presentations to get 2 sales, then?

2-2) The selling tools = Over the years I developed a set of tools and here they are?

2-3) Measuring the results = Once you have your daily, weekly and monthly activity results, you use these forms to graph your results?

Then:

3-1) Why this works = you will know exactly what to do each day, week and month

3-2) What happens if you don?t do this = if you can?t measure it you can?t manage it

3-3) The exciting results you?ll get for doing this = as you can see, figures don?t lie, you can make them do anything you want and achieve the results you want

Here?s another example. A problem exists in the manufacturing plant. After a year of marketing, the product is not reaching the targeted sales figures. The three steps above is illustrated in the same manner according to the particular problem. Your first 3 break down could be: 1) What could the reasons be that this product is not selling? 2) What is the solution for each of these? 3) Which of these would be the best solution and why?

You can use this 3-3-3- Sounding tool for a system that needs to be redesigned or an idea that needs to be communicated or any job that needs to be done. Really any problem that needs to be solved./dmh
